BoardDesk provides board-management software to HOA, co-op, and condominium boards. This policy explains what we collect, how we use it, and the choices you have.
Data we collect
- Board member profiles — names, email addresses, and roles of board members and secretaries.
- Board records — decisions, meeting minutes, projects, financial project data (budgets and expenses), bids, and documents you upload.
- Resident email subscriptions — email addresses residents provide to receive board notifications.
- Operational data — basic logs needed to run and secure the service.
The resident portal
Each board has a public resident portal. Only information a board explicitly publishes is shown there. Internal notes, vote tallies, financial details, unpublished items, and board member personal information are never displayed on the portal.
Resident email addresses
Resident emails are used solely to send board notifications you choose to send. We never sell them. Every notification includes an unsubscribe link, and unsubscribe requests are honored within 24 hours.
Data retention
- Board decisions and meeting minutes are retained permanently, consistent with New York record-keeping requirements (NY BCL §624).
- Documents are retained per the schedules described in our Terms and applicable law.
- Resident email addresses are retained until the resident unsubscribes.
Security (NY SHIELD Act)
Consistent with the New York SHIELD Act, data is encrypted in transit (TLS) and at rest. Access to board data is restricted to that board’s members through row-level security, and the public portal exposes only board-approved information.
Your choices
Board members can export and manage their board’s records inside the app. Residents can unsubscribe at any time. For data requests, contact your board, which is the controller of resident information (see our Data Processing Agreement).
